The Project

Each year, Brisbane Grammar School hosts an annual Open Day to showcase their school grounds and offerings to prospective parents and their children. As Queensland’s leading boys’ school, they take pride in excellence and were looking to elevate their Open Day experience. Their open day experience largely centred on student-led school tours, interactive displays and demonstrations that showcase the school’s different areas of learning. This year’s open day was also planned to showcase their newest building – The Steam Precinct. The school wanted to enhance these elements through using a “passport-like” experience that allowed guests to record their journey throughout the day.

The Interesting Bit

We set off on a mission to make this happen and created custom-made new technology that took their passport suggestion to the next level. These technology pods acted as touchpoints throughout the grounds, enabling guests to tap their RFID enabled wristbands and track their journey. We were able to differentiate between two guest segments (adults and children), which kept it fun for the kids, and beneficial for the adults, as they would be able to receive key information on the areas visited post event. By digitalising this idea, we have given Brisbane Grammar School better insights into their points of interest which will allow them to curate more efficient and curated communication lists and allow them to determine the best attracted points for future events. Additionally, to enhance guest experience we acted as background event coordinators to provide enhanced event visuals and elements. These involved co-ordination of external suppliers for food trucks, toilets, and temporary signage. This meant that guests were offered a larger food range, and a more comfortable navigation experience. Co-ordinating volunteers to a timed schedule is another specialty of ours, so it proved no difficulty for us to streamline the student-led school tours. Through co-ordination with teachers and students’ availability we were able to craft appointments that were publicly available to schedule prior to the event.

The Results

Around 5,000 guests attended this successful day. The school tours booking schedule produced sold-out tour times and guests (including the adults) loved scanning their wristbands around the site. We received great feedback from the teachers who had experienced previous open days and stated that this year’s Open day felt excitingly different.
